It’s time to go beyond document management with SharePoint to streamline operations, reduce errors, and improve data integrity. SharePoint, Teams, and the Power Platform can serve as a secure, effective framework for business process management.

SharePoint

Organizations often use SharePoint as an intranet, but it's much more than that. It’s a cloud-based collaboration tool. It’s also used for document and content management and has built-in permissions and security, plus the ability for automation. 

So, what does SharePoint offer?

  • Integrated Microsoft 365 – with Excel, Word, and PowerPoint. 
  • Benefits for companies of any size.
  • Customization for specific needs.
  • Internal collaboration
  • External collaboration – you can share documents with external stakeholders. 

SharePoint is not a database. It’s a list with UI and UX properties to make it easy to use. 

OneDrive

OneDrive shares the characteristics of SharePoint because it is your personal SharePoint. It allows you to do the same things, with productivity tools, and is integrated with the Microsoft ecosystem. 

Teams

Teams complement the collaboration capabilities of SharePoint by providing a cloud-based communication tool.

  • Video conferencing and meetings
  • Team collaboration from various areas of the organization.
  • Create collaborative workspaces using SharePoint.
  • Microsoft 365 integration, so that you can work within Teams
  • Extend third-party apps and services

SharePoint is the back end of Teams, housing all the information you’re using. When you share a file in Teams, it is stored in OneDrive. 

Teams is not a simple instant messenger, nor is it an email replacement. However, it can be used as a project management solution or a content management system.

The Power Platform

The Power Platform is a suite of business tools for business intelligence, automation, and innovation. It connects with your data, wherever it is. It also integrates with Microsoft 365

However, it’s not meant to replace your enterprise system – it is not a stand-alone product. It provides business intelligence, but you must put the parts and pieces together to get a total solution.

SharePoint, OneDrive, and Teams are the building blocks, and the Power Platform is what bridges the gaps between them to provide

  • Document management
  • An approval workflow. Once you set up the logic, Power Automate recognizes there is a document needing review and adds a task, sending notifications via Teams and any number of ways. 
  • Power Apps are incorporated directly into Teams to move users through the process in a particular order of events, from the beginning to the end of a task. 

For example, let’s say you have a publications page that includes all SOPs, process documents, etc., that have requirements associated with them. You’ll see where they are in the process: published and an effective through date or sent for approval.

Individuals can see their tasks and status in Teams and sort via tabs to see planned and assigned tasks, everything that must be done to complete the task, and all due dates.
